How to prepare a shared PC for guest presentations
Check a shared PC's display, sound, controls, and connection before guests arrive, then troubleshoot problems that could interrupt a presentation.
A shared PC can look ready until the projector shows the wrong screen, the speakers stay silent, or the presentation file will not open. A quick check before guests arrive can catch problems while there is still time to fix them.
Use Test Everything to check the PC's available hardware, then test the actual projector, presentation file, and account you plan to use. A browser test can show whether devices respond, but it cannot confirm that your presentation app or file will work.
Check the PC before guests arrive
- Open Test Everything on the shared PC and follow the tests in order. Allow camera or microphone access if the browser asks and those devices are part of your presentation.
- Check the controls and sound you plan to use. Type on the keyboard, move and click the mouse, and play a speaker test at a low volume. If you will speak through a microphone, speak at a normal level and confirm the test detects sound.
- Connect the actual projector, TV, or external monitor with the cable or adapter you will use at the event. Turn it on, select the correct input, and make sure the image appears on the intended screen.
- Open your presentation from the account and location you will use during the event. Advance through several slides, play any embedded video or audio, and check that links or online material load if you need them.
- Note any failed test and the device involved. If you change a cable, setting, or peripheral, repeat the affected check before guests arrive.
Run the check on the shared PC itself, not only on your personal laptop. The browser test checks the device currently in use, and the shared computer may have different hardware, permissions, or settings.
What the results mean
The checks respond as expected
The tested hardware is responding in the browser. This is a good sign, but it does not guarantee that the presentation app uses the same microphone, speakers, or display. Confirm those choices inside the app and run through the presentation file itself.
A check fails or does not respond
The result points to a device or connection worth investigating, not always a broken part. A muted speaker, disconnected projector, blocked browser permission, or a different device selected in the app can all cause a test to fail. Use the steps below, then test again.
The browser cannot access a camera or microphone
This may be a permission or selection problem rather than a hardware fault. Check the browser's permission for the site, then check whether the device is enabled in the computer's privacy settings. A camera or microphone test asks for permission before it can use the device.
The network test is poor, but the presentation opens
A network result describes the connection during the test. It does not prove that every online service or video will work reliably. If the presentation needs internet access, open the specific website or media in advance, and keep an offline copy when possible.
How to fix common problems
- Select the right display. Check that the projector or monitor is on and set to the correct input. On Windows 11, open Settings › System › Display to see detected screens and choose how they are arranged. On macOS, open System Settings › Displays. Try reconnecting the cable if the external screen is missing.
- Choose the right sound output. On Windows 11, go to Settings › System › Sound and select the intended output under Output. On a Mac, open System Settings › Sound › Output. Raise the volume and check physical mute controls. Projectors and displays connected by HDMI may appear as separate sound outputs.
- Check microphone or camera access. In the browser, open the site permissions from the icon beside the address bar and allow the device you need. On Windows 11, check Settings › Privacy & security › Microphone or Settings › Privacy & security › Camera. On macOS, check System Settings › Privacy & Security › Microphone or System Settings › Privacy & Security › Camera. Also select the intended device inside the presentation or meeting app.
- Reconnect cables and adapters. Unplug and firmly reconnect the display cable, USB microphone, or speaker. If possible, try another port or the room's known-working adapter. A loose connection can make a device appear and disappear.
- Prepare the file and network access. Sign in to the account that has permission to open the presentation. If the file or media depends on the internet, confirm access on this PC and save a local copy when allowed. Do not assume that a guest account can reach your cloud files.
- Restart the shared PC if a device remains unavailable. A restart can release a camera or microphone that another app is holding and refresh a display connection. Reopen the presentation and repeat the checks after the computer starts.
When the hardware may be faulty
If the same keyboard, speaker, microphone, or display fails after you reconnect it and check settings, try that device with another computer if you can. If it fails there too, the device or cable may need repair or replacement. For room-owned equipment, tell the room's support contact what you tested and what happened instead of changing hardware or settings you are not authorized to alter.
Test the presentation, not just the PC
A hardware check cannot confirm that slide fonts will look the same, a video codec will play, presenter mode will appear on the correct screen, or a website will accept the guest account. Open the real file and test the exact actions you will use. If possible, keep a copy of the presentation on the computer and a backup on removable storage, and sign out of personal accounts when you finish.
