How to prepare password-protected invoices for taxes

Unlock invoices you have the passwords for, combine them into a yearly tax PDF, and protect the finished bundle before sharing it.

For a yearly tax bundle, unlock each invoice with its password, put the files in the order you want, then combine them into one PDF. Keep the original protected files, and add a password to the finished bundle if the person receiving it needs one.

You can do the file work in your browser. The PDF tools process files on your device, so the invoices are not uploaded. You must already know the password for each protected invoice. The tools cannot find or break unknown passwords.

Prepare the invoices

  1. Open Unlock PDF and gather the invoices and passwords. Keep the original files unchanged, and make working copies if you want a separate set for the bundle.
  2. Open one invoice at a time and enter its password when prompted. If you do not know the password, contact the issuer or your accountant for an authorized copy. Do not try to bypass the protection.
  3. Save each unlocked invoice as a new file. Give it a clear name, such as the year, vendor, and invoice number. Keep the originals in a separate folder so you can refer back to them.
  4. Open each saved copy and check that it displays correctly without asking for the original password. Confirm that the vendor, invoice number, date, amount, and all pages are visible.
  5. Choose an order for the bundle. For example, sort by date from January to December, or group invoices by vendor if that matches your accountant's instructions.
  6. Use Merge PDF to combine the unlocked invoices. Add the files in the order you want them to appear. If you need only certain pages, select those pages rather than including unrelated material.
  7. Review the combined PDF from beginning to end. Check that pages are upright and readable, the invoices are in the right order, and no page is missing or repeated. Save the bundle with a clear filename, such as 2025-tax-invoices.pdf.

Keep a simple list of the invoices included, with each vendor, invoice number, date, and total. Use it to compare the bundle against your records, especially if the invoices came from multiple folders or accounts.

Choose how to send the bundle

Send one combined PDF

A single file is convenient when the recipient wants one yearly packet. Before combining, make sure the order and page selection are useful for review. A single file can be harder to replace if one invoice changes, so keep the individual unlocked copies too.

Keep invoices as separate files

If your accountant or tax software requests separate documents, do not merge them just for convenience. Use clear, consistent filenames and keep a list of what each file contains. Follow the recipient's instructions about file names, page ranges, and accepted formats.

Protect the finished bundle

If the recipient wants one password for the complete packet, use Protect PDF after you have checked the merged file. It adds a password using AES-256 encryption. Choose this only when the recipient can open password-protected files and you can share the password safely. If the recipient needs to search, import, or process the invoices, ask whether protection will interfere with that work.

Do not send the password in the same email or message as the PDF. Share it through a separate channel, and only with the intended recipient. For more guidance, see why you should never email a PDF password with the PDF.

Problems you might hit

The password does not work

Check that you are using the password for that specific invoice, including any uppercase letters, numbers, or symbols. Some files have individual passwords, so one password may not work for every invoice. If it still fails, ask the issuer or the person who provided the file for the correct password or a replacement copy.

The file opens but still has restrictions

A PDF may open normally but still restrict actions such as printing or copying. Do not assume that opening the file means every restriction has been removed. Use the authorized password with Unlock PDF, then test the resulting copy. If the file remains restricted or the tool cannot process it, request an unrestricted copy from the issuer.

The merged PDF is missing pages or out of order

Open the merged file and compare its pages with the original invoices or your invoice list. If you find an error, return to the individual files, correct the order or page selection, and create the bundle again. Keep the previous version until you have checked the replacement.

The recipient cannot open the protected bundle

Confirm that you shared the right password and that the recipient can open password-protected PDFs in their software. If the recipient needs an unprotected file to import or process it, ask how they want it delivered instead of sending a version they cannot use.

Invoices contain financial and identifying details. Store the originals and working copies somewhere private, and send only the pages and information needed for the yearly tax bundle.
